Student MacBook Guide
This guide will help you get started with the university student MacBooks. It covers logging in, accessing Microsoft Office apps, setting up OneDrive, and enabling printing.
Microsoft Sign-In Screen
When the MacBook starts, you’ll see the Microsoft sign-in screen.
1. Enter your university email address and click Next.

2. Type your password and click Sign In.

3. After signing in, you will see the university’s Terms and Conditions. Select I Agree and click Done to continue.

Account Creation
- For the first time you sign into the Mac, it will automatically create a local account for you. The local account will sync with your Microsoft credentials
- This process may take a few moments to complete.
- Once complete, you’ll then be taken to the macOS desktop.

Microsoft Office Apps
To enable Single Sign-On (SSO) for all Microsoft 365 apps:
1. Open Microsoft Word (or any Office app) from Applications or Launchpad.

2. Click on Sign in and enter your university email address.

3. On the SSO page, enter your university email password and click Sign in.

- This activates SSO for Word, Excel, PowerPoint, Teams, OneDrive, etc.
- You only need to do this once per device.
4. After signing into Word, to see your files, click Open.
5. From the list of locations, select OneDrive – University College Birmingham

- You can now open and save files directly from your OneDrive.

If you create a new document, make sure to switch on AutoSave (toggle in the top-left corner of Word) and select Other to browse your OneDrive folders, and click on Choose Location.




- The AutoSave switch will turn blue when it’s on.
- You’ll see a message confirming that your document is being saved to OneDrive.
- This process ensures your work is saved automatically to OneDrive.
Setting Up OneDrive App (Optional for Local Sync)
1. Open the OneDrive app from Applications or Launchpad.

2. If you’ve signed into Word or another office app, it will prefill your email address. Click on Sign In, and it will automatically sign you in to OneDrive.

3. Follow the setup wizard by clicking Next through the prompts and then clicking on Open OneDrive Folder.
This will map your OneDrive folder in Finder for easy access.


Important:
- When you click Open OneDrive Folder, Finder will open the OneDrive location.
- At first, you might see no files and a loading status in the folder. If this happens, click away to another location in Finder (e.g., Documents) and then click back on OneDrive.
- Your files should now refresh and appear correctly.
How to Enable Printing
PaperCut Print Deploy allows you to easily use university printers on your MacBook. Follow these steps:
1. Click the PaperCut Print Deploy icon in the menu bar (top-right corner of the screen)

2. When prompted, sign in with your university student ID (e.g. ABC1234567) and password and click on Sign in and add printers.

Once you’ve successfully signed in, you will the see the UCB Printer listed

To Print Your Document
- Open your document and select File > Print.
- Choose the installed printer (UCB-Printer) from the list and click Print.
- Go to any printer on campus, tap your ID card, and release your print job.
Logging Off or Ending Your Session
When you have finished your session, please Log Out or Shut Down.
Do NOT lock the screen when you finish using the MacBook.
To log out or shut down, click the Apple menu (top-left corner of the screen) and click Shut Down or Log Out.

Important: If the MacBook is locked by another user and you cannot access it, you will need to force shut down by holding down the power button until the screen turns off, then restart the MacBook.
